Inventory Management Software
Stock that keeps itself up to date. Every bill you raise moves the stock — across multiple godowns, with low-stock alerts, batch and expiry tracking, and transfers between your locations.

The problem is never counting — it’s staying counted
Most businesses can tell you what they had in stock on the day they last counted. The trouble starts the day after. Goods sell, a consignment arrives, something is returned, a few pieces move to the other shop — and unless every one of those is written down somewhere, the number on paper and the stock on the shelf quietly drift apart.
Keeping a separate stock register is what makes it drift, because it depends on someone remembering to update it. The fix is to stop keeping stock separately. When the bill itself is the stock movement, there is nothing left to remember: sell two pieces and stock falls by two, book a purchase and it rises.
That is how KhataBuddy works. Stock is derived from your actual entries, not typed in and maintained — so it cannot silently disagree with your books.
How it works
Three steps, then it looks after itself
Add your items once
Set up each item with its unit, price and opening stock. Bring a long list in from Excel rather than typing it, and the HSN code is suggested as you go.
Just carry on billing
Every sale, purchase and return moves stock on its own. There is no separate stock entry to remember, because the bill is the stock movement.
See what you actually hold
Check stock on hand per item and per godown, get told when something runs low, and pull a stock summary whenever you need one.
Stock across multiple godowns
If you run more than one shop, a warehouse, or even a back storeroom, one total is not enough — you need to know where the stock is.
Every item carries a total and the split across your locations, and the two always agree. Sell from the shop and the shop’s stock falls; receive a consignment into the warehouse and it lands there — because each bill knows which godown it belongs to.
When stock needs to move, record a stock transfer between godowns — several items in one entry rather than one at a time. Godowns are available on the Elite plan and above, with no limit on how many you create.
Batch numbers and expiry dates
For a pharmacy, a food business or anything perishable, “we have 40 units” is not a useful answer. What matters is which batch, and when it expires.
Items can be tracked by batch, with each batch holding its own quantity and expiry date, so you can sell from the right one and see what is about to go out of date rather than discovering it on the shelf. Serial-number tracking works the same way — a serial number is simply a batch with a quantity of one, which is what you want for phones, appliances or anything with an IMEI. Batch and expiry tracking is on the Ultimate plan.
No batch setup screen
Batches are created as you use them — the first time a purchase or opening entry names a batch, it exists. There is no separate master to maintain before you can bill.
What you get
Everything stock needs to stay honest
Multiple godowns
Keep separate stock for every shop, warehouse or storeroom, see what is lying where, and bill from the right location — on desktop and mobile.
Stock transfers
Move stock between your godowns and record stock in or stock out — many items at a time in a single entry, not one by one.
Low-stock alerts
Set a reorder level per item and get told when it drops below, so you find out before a customer does.
Batch & expiry tracking
Track items by batch number and expiry date — the difference between guessing and knowing for pharma, FMCG and anything perishable.
Bulk stock from Excel
Got a long list of stock coming in or going out? Upload the sheet and every row fills in at once instead of item-by-item entry.
Stock reports that tie out
Stock summary, item-wise movement and valuation — built from the same entries as your books, so the numbers agree.
Who uses it
Built for stock-heavy businesses
Not a separate inventory app
Standalone inventory tools leave you reconciling two systems — stock in one, billing and GST in another, and a monthly argument about which is right. In KhataBuddy the invoice is the stock movement, so your stock, ledgers and GST reports are all built from the same entries. Bill at the counter with POS billing or scan a supplier bill with bill scanning — stock moves either way.
