What is e-invoicing, and who needs it?

Under GST, certain sale invoices must be registered with the government before they are treated as valid. You send the invoice details to the Invoice Registration Portal (IRP), and it returns an IRN (Invoice Reference Number), an Ack No and a digitally signed QR code — all of which have to appear on the copy you give your buyer.

It applies to B2B sales by businesses whose annual turnover crosses the notified threshold — currently ₹5 crore. That limit has been lowered several times since e-invoicing started, so check the threshold that currently applies to you rather than assuming you are outside it.

Doing it by hand is the slow part

Without e-invoice software you make the bill, log into the IRP separately, upload the invoice, then copy the IRN and QR back onto your paperwork — for every B2B invoice. Software removes all of those steps except making the bill.

How it works

Generate an e-Invoice in three steps

From a normal sale invoice to a registered e-invoice with IRN and QR — without leaving KhataBuddy.

1

Make the sale invoice as usual

Bill your B2B customer the normal way in KhataBuddy — an e-invoice is generated from a sale invoice, not typed again from scratch.

2

Click Generate e-Invoice

KhataBuddy validates the invoice and registers it on the government portal for you. No separate uploading, no JSON files, no second website to log into.

3

IRN and QR print on the bill

The IRN, Ack No and the signed QR code returned by the portal are added to your invoice automatically — ready to print or share on WhatsApp.

One-time setup: register KhataBuddy’s GSP on the government e-way bill portal and enter those credentials once — they cover both e-invoices and e-way bills.

What you get

e-Invoicing built into your billing

Not a bolt-on utility — the same software that raises the invoice registers it.

One-click IRN generation

Register a B2B invoice on the Invoice Registration Portal straight from the invoice you just made — no manual upload step.

Signed QR code on the invoice

The government-signed QR code and IRN are placed on the invoice automatically, exactly as the rules require.

Checked before it is sent

Your invoice is validated against the portal’s rules first, so errors are caught before the invoice goes out rather than after.

e-Way bills from the same setup

One registration covers both — generate e-way bills for goods in transit without configuring anything a second time.

Prints on every invoice design

The IRN and QR block appears on whichever invoice template you use, and on the PDF you share with your buyer.

Works with the rest of your books

e-Invoicing sits inside the same software doing your billing, inventory and GST returns — nothing to export or reconcile.

e-Invoices and e-way bills, one setup

Both documents are registered through the same government-approved provider, so in KhataBuddy they share one registration and one screen. Set it up once and you can register B2B invoices and raise e-way bills for goods in transit — including from your phone.
