What is a captain app?
A captain app — also called a waiter order taking app — lets the person taking the order at the table enter it straight into the billing system from their phone. No notepad, no walk to the counter, no reading a scribbled slip aloud to the biller.
This is where most dine-in mistakes are born. The captain writes “2 PBM, 4 BN” on a pad, walks to the counter, and the biller types it in — or forgets one line. During the rush the walk itself costs minutes at every table. A restaurant order taking app removes the middle step: the captain’s tap is the order.
In KhataBuddy the captain app is the same KhataBuddy Android app, opened with a captain login. The order goes to the kitchen as a KOT, shows up on the kitchen display, and lands on the right table in table management — with the biller in full control of the final bill.

How it works
How the captain app works in KhataBuddy
From “what would you like?” to the kitchen in three taps.
Open the table
Ravi logs in as a captain on his Android phone, opens the floor view and taps Table 7. It shows as seated with 4 guests.
Add the dishes
He searches “paneer”, taps Paneer Butter Masala twice, adds 4 Butter Naan and 2 Sweet Lassi, and types “less spicy” on the paneer. Voice billing works here too.
Send the KOT
One tap on Send KOT. The ticket prints in the kitchen and appears on the kitchen display with “Table 7 · Ravi”. The items are already on Table 7’s running bill.
Add more rounds, biller settles
Dessert later? Ravi opens Table 7 again and adds it — a new KOT goes out. When guests are done, the biller makes the GST bill with a UPI QR at the counter.

It is the regular KhataBuddy Android app, opened with a captain login — so any Android phone becomes an order-taking device.
Full menu with search, quantities and notes
Type a few letters to find a dish, set the quantity, add notes like “Jain” or “extra cheese”. Variants and add-ons are right there.
KOT from the table
Tap Send KOT and the ticket goes to the kitchen printer and the kitchen display — with the table number, time and the captain’s name on it.
Adds to the table’s running bill
Every order the captain sends joins that table in table management. More rounds go out as new KOTs; the table keeps one bill.
Limited by role
A captain can take orders and send KOTs. Giving discounts, editing the menu or viewing reports is off unless the admin turns it on — see staff management.
Counted in your 3 users
The restaurant plan covers up to 3 users of any type, so you decide how many of them are captains. Need one more? Add a user at a small extra cost.
